When you use our website or book a service, we collect the following information:
- Contact details — your name, email address, and phone number
- Property information — your service address, property type, roof details, panel count, and roof height
- Booking details — your preferred date, time window, service type, water supply availability, and any special instructions
- Payment information — billing details processed securely through our payment provider. We do not store raw card data on our servers
- Reviews & feedback — if you submit a review through your job results page, we store your name, star rating, and written feedback
- Device-local data — if you opt in, your booking details (name, address, roof info) are saved to your browser's local storage to pre-fill future bookings. This data stays on your device and is not transmitted to our servers unless you complete a new booking. You can delete saved addresses at any time from the booking page
- Usage data — pages visited, browser type, and general location data collected automatically through standard web analytics
We only collect information that is necessary to provide you with our services.
🔧How We Use Your Information
Your information is used strictly to deliver and improve our services:
- To schedule, confirm, and manage your service appointments
- To send booking confirmations, appointment reminders, and service updates to your email
- To calculate accurate pricing based on your property, location, roof height, slope, and travel distance — some of which may include supplementary charges that are factored into your total at checkout
- To contact you if we need to reschedule or clarify details about your booking
- To process payments for services rendered
- To store and display customer reviews submitted through your job results page
- To improve our booking system and customer experience over time
We do not sell, rent, or trade your personal information to any third party for marketing purposes.
🤝Third-Party Service Providers
To operate our business and fulfill your service, we work with trusted third-party providers. Your information may be shared with them only to the extent necessary to complete your booking or deliver your service:
- Stripe — PCI-compliant payment processor that securely handles all credit card and Cash App transactions
- Supabase — secure cloud database where your booking records are stored
- Resend — email delivery service used to send your confirmation and reminder emails
- Mapbox — mapping service used to verify your address and calculate travel distance
- Clerk — authentication platform used to secure our internal admin systems
- Anthropic (Claude AI) — powers our live chat assistant to help answer customer questions
Third-party contractors: In some cases, to better meet customer needs or service demand in certain areas, SolarX may fulfill your service through a vetted third-party contractor or partner technician. In such cases, your name, address, and service details will be shared with that contractor solely for the purpose of completing your scheduled job. All contractors are held to the same service and safety standards as our own team. You will always be notified if your job is being fulfilled by a partner.
🗄️Data Retention & Storage
Your booking and personal information is stored exclusively in our secure, access-controlled database. We do not maintain physical paper records or unencrypted local copies of your data.
We retain your booking records for as long as necessary to:
- Fulfill your service and any follow-up requests
- Maintain accurate business and financial records
- Comply with applicable legal and tax obligations
If you would like your data removed from our records, you may contact us at office@solarx.care and we will process your request within 30 days, except where retention is required by law.
💳Payments & Pricing
All payments are processed securely through Stripe, a PCI-compliant payment processor. We accept credit cards and Cash App. SolarX does not store your card details on our servers.
- Pricing is calculated based on your panel count, property details, roof height, slope, water supply, travel distance, and any selected add-ons
- Your exact total is displayed before payment — no hidden fees or surprise charges
- A 6% payment processing fee is included in all transactions. This fee is non-refundable as it is charged by the payment processor at the time of the transaction
- Promo codes and discounts are applied at checkout and reflected in the total before payment
💰Cancellation & Refund Policy
We understand plans change. Our cancellation policy is based on how far in advance you cancel relative to your scheduled appointment:
- 48+ hours before appointment — 94% refund. The 6% payment processing fee is non-refundable as it is charged by our payment processor at the time of the original transaction
- 24–48 hours before appointment — 75% refund or a free reschedule to a new date at no additional charge
- 10–24 hours before appointment — 50% refund or a free reschedule. At this stage, our team has already been scheduled, equipment loaded, and routes planned for the day
- Less than 10 hours before appointment — 50% refund or reschedule with a $50 late reschedule fee. Our team is en route or completing final preparations, and supplies and crew time have been committed to your job
Why partial refunds? When your appointment is within 48 hours, our team has already begun preparing — scheduling the crew, loading equipment, and planning the route. Every transaction also incurs a bank processing fee that we cannot recover. These are real costs that are committed once we are close to the service date. We always recommend rescheduling instead of cancelling, as it preserves the full value of your booking.
Weather cancellations: If SolarX cancels your appointment due to weather conditions, you will receive a full reschedule at no additional charge.
Access issues: If our team arrives and is unable to access the solar panels (locked gate, restricted access, etc.), a $50 trip fee will apply to cover travel and crew time. We will reschedule your appointment at your convenience.
Inaccurate panel count: Your quoted price is based on the panel count you provide during booking. If our team arrives and the actual number of panels differs from what was submitted, the job cannot proceed as quoted. You will have two options: (1) pay a $50 trip fee and we will help you rebook the appointment with the correct panel count and updated pricing, or (2) cancel the order, in which case the standard cancellation refund tiers listed above will apply plus the $50 trip fee. Please double-check your panel count before submitting your booking to avoid any issues.

📅Rescheduling Policy
We offer flexible rescheduling to ensure you get the service at a time that works for you:
- Rescheduling is available through our live chat or by emailing office@solarx.care
- Rescheduling more than 10 hours before your appointment is free of charge
- Rescheduling less than 10 hours before your appointment incurs a $50 late reschedule fee as our team has already committed resources for your job
- Rescheduled appointments are subject to availability on weekends (Saturday & Sunday), 7:00 AM – 5:00 PM
🤖AI-Powered Live Chat
Our website features an AI-powered live chat assistant to help you with questions, pricing, scheduling, cancellations, and rescheduling requests. By using the chat, you acknowledge:
- The chat assistant is powered by artificial intelligence and may not always provide perfect answers
- Cancellation, reschedule, and discount requests submitted through the chat are forwarded to our team for review and confirmation — they are not processed automatically
- Information you provide in the chat (email, phone number, order number) is used to look up your booking and process your request
- Chat conversations are not stored permanently but request details (cancellations, reschedules, discounts) are saved to our internal system for processing
🛡️Limitation of Liability
SolarX provides solar panel cleaning and related property services. By booking with us, you acknowledge and agree to the following:
- SolarX is not responsible for pre-existing damage to solar panels, roofing, gutters, mounts, or wiring that is discovered during or after a service visit
- Customers are responsible for disclosing any known fragile, damaged, or warranty-sensitive components prior to service. Failure to disclose known issues releases SolarX from liability for related damage
- Our liability for any single service is limited to the amount paid for that service. We are not liable for indirect, incidental, or consequential damages including lost energy production, system downtime, or third-party repair costs
- SolarX reserves the right to decline or reschedule service if site conditions are deemed unsafe, inaccessible, or outside our scope of work
- At this time, SolarX requires customers to have an on-site water supply available for service. If no water source is available at your property, we may be unable to complete the service and will contact you to reschedule or cancel
- Any disputes arising from a service must be reported in writing to office@solarx.care within 7 days of the service date. Claims submitted after this window may not be eligible for review
- SolarX carries full general liability insurance. Proof of insurance is available upon request
These terms exist to protect both parties and ensure disputes are handled promptly and fairly.
🍪Cookies & Tracking
Our website uses standard browser cookies and similar technologies to maintain your session, remember your preferences, and improve site performance. We may also use analytics tools to understand how visitors use our site — this data is aggregated and does not identify you personally.
In addition to cookies, we use your browser's local storage to optionally save your booking details (name, address, roof information) so they can be pre-filled on future visits. This is opt-in — you will be prompted before any information is saved locally. Data stored in local storage never leaves your device unless you complete a new booking. You can delete saved addresses at any time directly from the booking page.
By continuing to use our website, you consent to the use of cookies as described above. You may disable cookies or clear local storage in your browser settings, though some parts of the site may not function correctly as a result.
